The Microsoft Exchange Server software makes it possible to store and process emails as well as manage appointments, contacts and other tasks. This system is normally installed on a company-owned server and is available to all employees. As an alternative, Microsoft has been offering a cloud version of the software for several years as part of Office 365. This is available under the name Exchange Online. However, companies that use a corresponding program do not have to choose one of the two alternatives. Exchange Hybrid offers the opportunity to benefit from the advantages of both offerings.

Local installation: the classic alternative

Efficient processing of mail traffic is of great importance for a company. The easier this task is for employees, the more efficiently they can complete it. This leads to considerable savings. In the 1990s, the Microsoft Group developed the Exchange Server for the management of emails. This was the successor to MS Mail – a program that was no longer able to cope with the ever-increasing volume of mail. The first version was released in 1996 and was characterized by high data security and good scalability.

It was intended for installation on a local server of the company – technically known as on premises or on-prem for short. The advantages of this alternative include the fact that the company retains full control over its data . This means it can decide for itself how it secures it and where it is stored. A disadvantage is that a high financial outlay is required to provide the systems. Complex architectures also require highly specialized experts who are not available everywhere.

When should a proof of concept be carried out?

Problems arise, however, from the fact that the company has no control over where the data is stored and how it is protected. It is also difficult to connect the service with other office programs – for example with CRM software.

Exchange Hybrid: benefit from the advantages of both alternatives

A hybrid version combines the advantages of both alternatives. For services that require a connection to other programs or particularly careful data protection, processing on a local company server is the best option. The cloud version is used for all other mail traffic. This reduces the investment costs for the IT architecture and saves the time-consuming search for qualified specialists.
It also makes sense to use Exchange Hybrid during a gradual migration from your own company server to the cloud solution. Exchange Hybrid is the gentle path to the cloud – away from poorly structured on-prem servers. Continuous parallel operation of highly available local Exchange servers and cloud services leads to complex and expensive overall setups.
