IT Glossary

In brief

The Microsoft Exchange Server software makes it possible to store and process emails as well as manage appointments, contacts and other tasks. This system is normally installed on a company-owned server and is available to all employees. As an alternative, Microsoft has been offering a cloud version of the software for several years as part of Office 365 a cloud version of the software. This is available under the name Exchange Online. However, companies using such a program do not have to choose between one of the two alternatives. Exchange Hybrid offers the opportunity to benefit from the advantages of both options.

Local installation: the classic alternative

Efficient handling of email traffic is of great importance to a company. The easier this task is for employees, the more efficiently they can complete it. This leads to significant savings. To manage emails, Microsoft developed the Exchange Server in the 1990s. This succeeded MS Mail – a program that was no longer able to cope with the ever-increasing email volume. The first version appeared in 1996 and was characterised by high data security and good scalability.

It was intended for installation on a local server of the company – in technical terms referred to as on premises or in short: on-prem. The advantages of this alternative include the fact that the company retains full control over its data . This allows it to determine for itself how it secures them and where they are stored. A disadvantage is that a high financial outlay is required to provide the systems. Furthermore, complex architectures require highly specialised professionals who are not available everywhere.

When should a Proof of Concept take place?

A simple alternative to this is Exchange Online to use. Here, the provider takes care of both the hardware and the software. Data transfer takes place via the Internet. The excellent infrastructure ensures that the services feature very high availability. Furthermore, they can be accessed from anywhere in the world.

However, problems arise from the fact that the company has no influence over where the data is stored and how it is protected. Furthermore, it is difficult to connect the service with other office applications – for example with CRM software.

Exchange Hybrid: benefit from the advantages of both alternatives

A hybrid version combines the advantages of both alternatives. For services requiring a connection to other applications or particularly meticulous data protection, processing on a local company server is ideal. The cloud version is used for the remaining email traffic. This reduces investment costs for the IT architecture and saves the time-consuming search for qualified specialists.

Using Exchange Hybrid during a step-by-step migration from your own company server to the cloud solution is also advisable. Exchange Hybrid is the smooth path to the cloud – away from poorly structured on-prem servers. Perpetual parallel operation of highly available local Exchange Servers and cloud services leads to complex and expensive overall setups.
