In brief
SharePoint from Microsoft is a well-known and powerful tool for organising and sharing data across the intranet, as well as externally – depending on the configuration. According to your preferences and needs, Places are created, which can also be fully adapted to their intended purpose. For example, there are Places purely for storing data, but there are also collaboration components or newsfeeds. The structure of the individual pages can be defined in detail and, of course, shared with different user groups, such as department by department. SharePoint Online can be accessed via web browser and used on various devices. The tool is included in the Office 365 Enterprise E3 package, but can also be subscribed to as a pair with OneDrive for Business in two different variants (Online Plan 1/2).
What can SharePoint Online do?
A whole range of functions from which you can derive great benefit.
These are the things you can do with SharePoint Online (Online Plan 1):
- Store data: The OneDrive service provides every user with at least 1 TB of personal cloud storage space.
- Share data (internally and externally): Files and content can be securely shared with people inside or outside your organisation.
- Content Management: Content can be organised in libraries and lists, supported by metadata, records management and retention policies.
- Team sites: Provides Teams with a platform to organise data and exchange information on it.
- Communication sites: Group messages or across your entire organisation – on Communication Sites, news is shared on visually appealing, dynamic pages.
- Intranets: Share information and news via the intranet. Convey your messages, distribute news, share resources, optimise processes and motivate your employees.
- SharePoint mobile app: SharePoint pages and OneDrive can also be conveniently accessed via mobile devices. The apps are available for iOS, Android and Windows or Windows Phone.
- Automated workflows: Business processes are automated with alerts and workflows.
- Discovery: Identifies relevant content and contacts.
If you have subscribed to Online Plan 2, these useful functions are also included:
- Search: An advanced search for company resources across your entire Office 365 environment.
- eDiscovery: Finds content in electronic format for audits or similar requests for information.
- DLP functions: Advanced and reliable data loss prevention (DLP) functions, featuring capabilities to detect, monitor and protect your confidential data.
- In-situ storage: An archive storage in which data can be archived prior to deletion or editing.
The various subscription plans of SharePoint Online
As the plans differ in their scope of functions, you should consider which features you will need. It is possible to combine different licensing plans – however, licensing restrictions must be observed, as some plans (for example Business Essentials) are limited to 300 licences, while only Enterprise E3 licences are unlimited. You should therefore also base your choice of the right licensing plan on your company size.
