SaaS – Software as a Service

Software as a service (SaaS) means software is not run in-house but used as a service over the internet, usually by subscription.

IT Glossary

In brief

In the digital age, services are being used more and more frequently. Compared to an in-house server room or data centre, services offer numerous advantages. Cloud computing provides the foundation for this. The services offered include:

SaaS – Software as a Service

PaaS – Platform as a Service

IaaS – Infrastructure as a Service

The services naturally differ in how they function and also in their respective billing models. Depending on the use case, a different service makes the most sense to deploy.

What exactly is SaaS?

If a software as a service is offered, this usually means that applications in the cloud are hosted. Users can access the software via the internet. For most services, access can take place via any internet-enabled device, be it a computer, laptop, tablet or smartphone.

One could also call SaaS – Software as a Service – “Software-on-Demand” since the software is no longer purchased traditionally via a licence, but effectively just rented.

As a rule, the software is paid for monthly, depending on the pricing model. Software installation is often not even necessary if the software can be used purely within a browser.

One of the best-known solutions, for example, is Microsoft’s Office 365, which allows you to use a wide range of familiar MS Office products online. Other notable SaaS tools also include Dropbox, DocuSign, Zendesk and – last but not least – Google Apps.

Benefits of SaaS

As previously mentioned, you no longer need to purchase a licence for software; billing follows a different model. The advantage here is that you can keep track more easily, and user access can be managed much more dynamically. At the end of the day, this naturally saves money. Because the backend is outsourced to the provider, you save effort and costs for maintenance work, security patches, updates or general configuration. These costs are already covered by the flat-rate price paid.

Should you require more users at short notice or run out of storage space, it is not a big issue. Often, just a few clicks are enough to add these items. The mobile workstation is almost a must these days. SaaS services can score points here too! As a rule, you can access the application from any computer via the internet.

Depending on the product, this option also exists for smartphones or tablets, in order to remain productive on the move as well.

Collaboration within your company (or even beyond company borders) is further enhanced by the collaboration features of Software as a Service. This is a particularly interesting advantage if you want to connect employees across different locations or work with consultants who are not on-site with you.

With SaaS, you always have the latest software version.

SaaS in businesses:

  • Cost efficiency: Businesses can avoid expensive investments in hardware and software because they pay for SaaS applications via subscriptions, making costs easier to plan.
  • Scalability: SaaS applications can easily be adapted to the changing requirements of a business. It is often possible to add or cancel licences as needed.
  • Less IT effort: Software maintenance and updates are usually handled by the SaaS provider, reducing the workload for the company's IT department for these tasks.
  • Rapid deployment: SaaS applications can generally be set up and used quickly, without lengthy implementation periods.
  • Access from anywhere: Since SaaS applications are accessible via the internet, users can access the software from practically anywhere, facilitating collaboration and remote access.
  • Automatic updates and security: SaaS software providers often look after security and carry out regular updates to fix vulnerabilities.
